AirTool Tool Rental Rules & Standard Operating Procedure (SOP)

1. Purpose

This document sets out the rules, responsibilities, and operating procedures for all tool rentals on the AirTool platform. It is designed to protect renters, tool owners, helpers, and the wider community by promoting safe, fair, and responsible tool sharing.

2. Scope

These rules apply to all users of the AirTool platform, including:

  • Tool owners
  • Renters
  • Local hubs
  • Helpers and professionals handling tools
  • Administrators and moderators

3. Core Principles

All tool rentals on AirTool must follow these principles:

  • Safety First – Tools must be used safely and according to manufacturer instructions.
  • Honesty and Transparency – Listings, availability, pricing, and tool condition must be accurate.
  • Respect for Property – Renters must treat borrowed tools as if they were their own.
  • Fair Use – Tools must only be used for lawful and agreed purposes.
  • Community Trust – Users are expected to communicate respectfully and resolve issues promptly.

4. Tool Owner Responsibilities

Tool owners must:

  • Provide accurate tool listings, including:
    • Tool name and model
    • Photos showing actual condition
    • Safety information
    • Operating instructions
    • Any limitations or known issues
  • Ensure tools are:
    • Safe and in working condition
    • Clean and maintained
    • Legally owned and authorised for rental
  • Provide essential accessories and safety equipment where applicable.
  • Respond to booking requests and messages in a timely manner.
  • Report damaged, lost, or unsafe tools immediately to AirTool.
  • Maintain any required insurance, licences, or compliance documents for specialised equipment.

5. Renter Responsibilities

Renters must:

  • Be at least 18 years old (or meet local legal requirements).
  • Use tools only for lawful and intended purposes.
  • Read and follow all operating and safety instructions.
  • Inspect the tool at pickup and report any issues immediately.
  • Return tools:
    • On time
    • In the same condition as received (reasonable wear and tear excepted)
    • Clean and with all accessories included
  • Take responsibility for loss, theft, damage, or misuse during the rental period.
  • Never sub-rent or lend the tool to another person without the owner's permission.
  • Use appropriate personal protective equipment (PPE) and comply with local safety laws.

6. Booking & Payment Procedure

6.1 Booking Process

  1. Renter submits a booking request through AirTool.
  2. Tool owner reviews and accepts or declines the request.
  3. Rental terms, pickup location, and timing are confirmed in the platform chat.
  4. Payment is processed securely through AirTool before the rental begins.

6.2 Payment Rules

  • All payments must be made through the AirTool platform.
  • Cash payments outside the platform are discouraged and may void platform protections.
  • Refunds, cancellations, and disputes are handled according to AirTool's cancellation policy.

7. Pickup & Return Procedure

7.1 Pickup Checklist

Before handing over the tool, both parties should confirm:

  • Tool condition
  • Accessories included
  • Fuel/battery level
  • Operating instructions understood
  • Rental start time

Photos are recommended for high-value tools.

7.2 Return Checklist

At return, both parties should confirm:

  • Tool is functioning correctly
  • All accessories are returned
  • Tool is reasonably clean
  • No visible damage beyond normal wear
  • Rental end time

Any issues should be documented with photos and reported through AirTool immediately.

8. Safety Requirements

  • Users must follow manufacturer instructions and safety guidelines at all times.
  • Power tools, ladders, trailers, and specialised equipment must only be used by competent persons.
  • Required PPE (such as gloves, eye protection, helmets, or hearing protection) must be used where applicable.
  • Tools must not be used under the influence of alcohol or drugs.
  • Unsafe behaviour may result in suspension from the platform.

9. Damage, Loss & Disputes

9.1 Damage or Loss

  • Renters are responsible for damage, loss, or theft during the rental period.
  • Tool owners must provide evidence of the tool's condition before and after rental.
  • AirTool may mediate disputes and determine fair compensation based on evidence provided.

9.2 Dispute Resolution

If a dispute arises:

  • Communicate respectfully through the AirTool platform.
  • Provide photos, messages, receipts, or other evidence.
  • AirTool administrators may review the case and make a final decision.

10. Prohibited Activities

The following are strictly prohibited:

  • Renting illegal, unsafe, or prohibited items
  • Providing false information or fake listings
  • Using tools for illegal activities
  • Harassment, abuse, or discriminatory behaviour
  • Attempting to bypass AirTool's payment or booking system
  • Repeated cancellations, no-shows, or fraudulent behaviour

Violations may result in account suspension or permanent removal from the platform.

11. Insurance & Liability

  • AirTool acts as a marketplace platform connecting users and does not own or operate the tools listed.
  • Users are responsible for ensuring they have appropriate insurance coverage where required.
  • AirTool is not liable for indirect, incidental, or consequential damages arising from tool use, except where required by law.

12. Compliance & Enforcement

  • AirTool may request verification, licences, insurance documents, or proof of ownership at any time.
  • Listings or accounts that do not meet platform standards may be suspended or removed.
  • Users must comply with all applicable local laws and regulations in New Zealand.

13. Updates to These Rules

AirTool may update these Tool Rental Rules & SOP from time to time. Continued use of the platform after updates means you agree to the revised rules.
